Position: Sr Executive Asst
Department: Infrastructure Planning and Development
Job Description:
To provide administrative and research support to the Infrastructure Planning and Development team and be responsible for the efficient running of the day-to-day operations in the department.
Job Responsibilities:
- Administrative support
- To provide clerical and operational support, including:
- Raising and processing of invoices and claims in a timely manner,
- Monitoring of projects’ claims and expenses and status of invoices,
- Track the fixed assets list under the team’s cost centre,
- To carry out any administrative ad-hoc assignments, and
- To provide secretariat support to the team.

- Research support:
- To help survey and document information on existing campus spaces and space provisions. With guidance, to evaluate current provisions and space usage to identify patterns or gaps.
- To help research on market availability of products.
Requirements:
Competency
- Ability to write and communicate well, with good interpersonal skills.
- Ability to quickly learn and navigate the various IT systems used in the daily operational work.
- Ability to work independently to conduct on site assessments alone, with strong organizational skills and attention to detail to effectively document information and findings clearly.
- Aptitude to pick up new things and do it well.
Educational and Professional Requirements
- GCE ‘N’/’O’ Level or Diploma holder
- Proficient in Microsoft Office applications
- Knowledge of ARIBA will be an advantage
- Knowledge of CAD software will be an advantage
- A passion for optimising space functionality and work processes will be an advantage.
