Executive Assistant, Group Nursing
JOB DESCRIPTION
Support the Group Chief Nurse (GCN) and Senior Manager, NHG Group Nursing in secretarial duties of calendar management, expenses and assets management, coordinating meetings, minutes taking and general administrative support for department.
The Executive Assistant will assist in administrative and logistics support such as data entry for various projects, working with vendors/suppliers (stationery, caterers, printers, etc) and other duties related to departmental activities and/or events, as assigned from time to time.
MAJOR DUTIES & RESPONSIBILITIES
- Supports the Group Chief Nurse (GCN) and Senior Manager, NHG Group Nursing in secretarial duties of calendar management, expenses and assets management, coordinating meetings, minutes taking and general administrative support for department.
- Provides secretarial duties, including the following:
- Calendar management.
- Coordinating meetings.
- Minutes-taking.
- General administrative support for the department.
- To perform procurement of products and services, including sourcing for products/services according to procurement guidelines.
- To maintain common drives folders, ensure relevant and appropriate access.
- To support logistics preparation for training sessions, department events and any other activities as assigned.
General
- Assist in assets management for the department (laptops, furniture, software, office equipment, etc).
- Assist in administrative and logistics support such as data entry for various projects, working with vendors/suppliers (stationery, caterers, printers, etc).
- Assist in maintaining records of staff leave/absences, training, and other activities as required.
- Assist in any other duties related to departmental activities and/or events, as assigned from time to time.
- Any other duties as assigned by the Reporting Officer and Head of Department.
JOB REQUIREMENTS
a. Education/Training/Experience
Education/ Training
- Minimum Diploma with at least of 2-3 years of relevant experience preferred.
- Proficient in Microsoft 365, MS Office, MS Word, MS Powerpoint, MS Excel, Canva, MS TEAMS and ZOOM video conferencing.
Experience
- Good administrative support skills with some experience in similar office administrative and/or secretarial work is preferred.
