Job Description:
You will support the People & Organisation Development Department (POD) in delivering IMH's educational and training initiatives for external partners and stakeholders. This role encompasses fellowship and observership administration, external training coordination, learning materials development, and process improvement. You will work closely with clinical departments across IMH to facilitate knowledge transfer to external organisations and individuals seeking to learn from IMH's expertise. This position reports to the Assistant Director, People & Organisation Development.
Job Responsibilities:
Primary Responsibilities:
- Fellowship and Observership Administration: Process approximately 30 annual applications including responding to queries, requesting supporting documents, updating policies and website content, and coordinating clinical placements by liaising with IMH departments to arrange schedules for successful applicants.
- External Training Coordination: Manage training requests from external organisations by gathering requirements, clarifying needs, collaborating with relevant IMH departments to curate courses, supporting content development for physical, online, and hybrid delivery formats, preparing cost quotations, scheduling programmes, coordinating logistics (including refreshments for on-site training), managing billing processes, and reviewing legally-bound agreements, MOUs, and contracts related to training programmes to ensure compliance and accuracy.
Secondary Responsibilities:
- Learning Materials Development: Support the creation of educational content for online platforms by curating materials with subject matter experts, developing resources, and uploading content to learning management systems.
- Process Improvement: Identify opportunities to streamline and automate internal processes to enhance operational efficiency.
Requirements:
Competency:
- Excellent communication and stakeholder engagement abilities with strong coordination skills
- Proficiency in Microsoft Office and familiarity with document management systems
- Experience with e-learning authoring tools (preferably Articulate, Canva, Slido, Padlet)
- Ability to work independently and collaboratively in a fast-paced environment
- Strong process analysis and improvement mindset
- Creative thinking with ability to design engaging educational and marketing materials
- Dynamic personality with a can-do attitude
- Attention to detail for reviewing legal documents and ensuring compliance
- Critical thinking and problem-solving abilities to navigate complex coordination challenges
Educational and Professional Requirements:
- Degree holder with 3-7 years of relevant experience, preferably in healthcare, education, or training coordination
- Fresh graduates with demonstrated relevant skills and strong potential will be considered
- Exceptional attention to detail with a meticulous approach to programme coordination and quality
- Experience in training administration, course development, or educational programme management preferred
- Familiarity with contract review and legal documentation processes would be advantageous.
