Sr/ Executive, Operations (Medicine)
The Operations Executive will engage in service planning, project management, operations, and administrative support to the clinical departments and the short stay wards/ facilities under the Division of Medicine, including setting up new innovative models of short stay care. This role involves close collaboration with medical, nursing, and other operational stakeholders to take projects through planning, financial and budgetary assessments, approval processes, and execution, while providing timely status updates. The incumbent will also serve as secretariat for assigned committees related to the projects undertaken.
RESPONSIBILITIES
Service Planning and Project Management
- Liaise with stakeholders across Div of Medicine, Bed Management Unit, Emergency Department, Nursing, IT and others to facilitate the implementation of projects that align with the hospital’s strategic plans for outpatient and short stay facilities.
- Work closely with clinical leads to evaluate and identify scope of services for the short stay wards.
- Perform preliminary analysis and service modelling, including defining admission criteria, estimating patient volumes, and determining bed requirements.
- Assist in developing resourcing requirements for the various short stay wards, including space & infrastructure planning, manpower, equipment, and support services.
- Monitor the deployment of resources, track project KPIs, and ensure alignment with the hospital's goals.
- Assist in the financial justification of projects, track expenditures and savings, and support budgetary planning and procurement.
Secretariat Duties
- Provide full administrative support to ensure meetings are effectively organized and accurately minuted.
- Liaise with the clinical Head of Department, clinical lead, and/or Director, Operations Medicine, to plan meetings, set agenda, and distribute reports.
- Circulate approved minutes and follow up to ensure that agreed actions are carried out.
General
- Perform ad-hoc duties as assigned by supervisor or Head of Department including other projects under the Division of Medicine which may be outside the scope of short stay wards.
JOB REQUIREMENTS
- Bachelor’s degree from any discipline.
- At least 4 - 6 years of industry experience in an acute public hospital or healthcare institution.
- Good collaborative skills and ability to work with multiple stakeholders (clinical healthcare professionals, IT vendors, finance etc.) across different domains.
- Organised, meticulous individual with good project management skills.
- Ability to multi-task and work under tight deadlines in a fast-paced environment.
- Dedicated and willing to go the extra mile to see things through.
- Excellent written, oral communication presentation skills (English).
- Proficiency in Microsoft Office (Word, Excel, Powerpoint).
