Sr Executive, Bed Management
Reporting to the Manager, the Senior Executive will ensure a safe and smooth Operations Command Centre operations which include the core function/operations of Bed Management (BMU). Continuously improve Bed Management & Operations Command Centre operations and processes.
MAIN DUTIES AND RESPONSIBILITIES
SPECIFIC
Bed Management & Operations Command Centre Operations
- Play a key co-ordination role in the effective utilization of all types of key resources such as bed/related resources, constantly matching demand and supply. The person will be a link with the various departments such as Emergency Department, BMU, Clinics, the Wards and Medical teams to ensure the efficient and effective flow of patients in the hospital.
- Monitor and co-ordinate flow including admission and discharges to maximize beds usage and optimize resources.
- Implement escalation policy to ensure appropriate management of patient flow through the hospital.
- Provide statistics and reports to Management and other related departments.
- Implement contingency and business continuity plans effectively.
- Maintain an effective communication system for staff and colleagues from various departments in the hospital.
- Attend to queries and complaints.
- Lead and facilitate staff in enhancing work processes.
- Any other duties or projects assigned by Management.
Improving Hospital / Department Operations
- Work with BMU Operations Manager and as a team to implement systems and procedures to ease flow / capacity constraints and leverage on operations tools and IT to optimize resource allocations.
- Perform regular analysis on flow / bed management related matters and propose relevant recommendations and enhancements
- Suggest and implement improvements to raise productivity and achieve faster, better, affordable and safer patient care.
- Develop and review Job Instructions and Job Improvements for department processes.
- Participate in quality improvement and operationalisation projects.
- Promote Hospital / Department improvement initiatives and establish collegiality and effective teamwork.
Staff Management
- Assign staff’s duties, plan roster and ensure optimal staffing level.
- Lead staff in the implementation of hospitals’ policies and development plan.
- Communicate and disseminate relevant information to staff.
- Identify training needs of staff and send staff for appropriate training to enhance staff’s competency and development.
- Manage operative staff performances.
- Upkeep the team spirit, camaraderie and morale in executing various responsibilities
- Counsel and discipline staff on disciplinary issues when necessary.
- Orientate new staff to facilitate a smooth integration to existing team.
Documentation
- Ensure all relevant forms, documents and data are properly kept, filed and disposed of in accordance to hospital policies.
- Ensure records are maintained and data collated for submission to Management, MOH and other relevant parties.
- Document the various OCC / BMU procedures.
