Sr Administrative Asst
Main Role: To provide administrative, procurement and operations support for NHG Diagnostics HQ and all its branches.
Job responsibilities:
- Responsible for raising purchase requisition and purchase order, performing goods receipt and timely submission of documents to finance shared services.
- Liaison between vendors and ground staff on procurement and purchase of services (e.g., preventive maintenance) matters.
- Raise approval paper for preventive maintenance contract and tracking the preventive maintenance schedule and payment to vendors.
- Assist in the preparation and distribution of regular statistical, financial reports and management reports.
- Extract monthly statistics from RIS and coordinate with reading centres on monthly billing and financial reports.
- Perform typing, faxing, photocopying and distribution of documents or forms to the various branches and other institutions/departments/divisions within the cluster.
- Handle telephone and general enquiries.
- Organize and maintain an efficient and effective filing system for radiography, administrative and operational documents/records.
- Manage general inventory and utilization of office supplies in headquarter and all branches.
- Assist to dispatch between headquarter and ground staff at branches.
- Assist in the co-ordination of onboarding tools or orientation kits (including radiographer white coat) for new radiographers.
- Requisite Radiography supplies according to cluster policies and maintain an efficient and effective filing system, such that supplies flows are continuous.
- Responsible for monitoring stock inventory and perform stock replenishment for all branches.
- Responsible for managing the booking of meeting rooms in headquarter.
- Sort and distribute incoming/outgoing mails.
- Prepare and disseminate statistics as requested.
- Assist to carry out any other duties assigned by Reporting Officer.
Job Requirements
- Diploma in administrative or equivalent
- GCE “O” levels with credits in English and Mathematics. Preferably with a Certificate in Office Skills/Administration.
- Minimum 2 years’ experience as an Executive Assistant/Clerk.
- Preferably with experience in healthcare industry.
- Computer knowledge in SAP or MS Office is a must.
