Senior/Executive Assistant, P&OD (People Development)

Job Purpose

We are seeking an organized and proactive individual to provide comprehensive administrative support for our learning and development programs. This role involves managing payment-related functions tied to training, monitoring training expenses, and assisting in various training-related areas to ensure smooth program delivery.

 

Job Responsibilities

  1. Program Administration
    Handle all pre-course, in-class, and post-course administrative tasks for both face-to-face and online learning and development programs. This includes scheduling programs, booking venues, sending communications/calendar invites to stakeholders, verifying QR codes for attendance registration, and collecting post-course feedback.

 

  1. Training System Management
    Create courses and upload attendance records into the training administration system.

 

  1.  Budget Monitoring
    Assist in monitoring training budget utilization and expenses, summarizing this information for reporting purposes.

 

  1. Form Management
    Create and manage training-related forms (e.g., surveys, course registrations, post-course evaluations) using FormSG.

 

  1. Ad-Hoc Projects
    Undertake any other administrative tasks and projects related to training administration as needed.

 

Job Requirements

  • Minimum Diploma in any field.
  • At least 5 years of administrative experience, preferably in the healthcare or learning and development.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Excellent communication and interpersonal skills.
  • Detail-oriented and proactive approach to work.
