Senior/Executive Assistant, Group HR Shared Services (2-year contract)

 

As a member of Group Human Resource, the incumbent will play a pivotal role in supporting the onboarding of our new healthcare professionals. In this role, you will be working closely with HR partners from NHG institutions and external stakeholders including recruitment agencies, State Licensure Board (e.g. Singapore Nursing Board) and MOM. This role primarily centers on recruitment onboarding and may offer learning opportunity in other functions within our shared service team.

 

Roles & Responsibilities

  • Coordinate with recruitment agencies to obtain documentation and paperwork related to the recruitment process
  • Assist new healthcare professionals with obtaining state licensure, work pass application and any other necessary credentials required
  • Liaise with recruitment agencies to manage the arrival and onboarding process for new hire
  • Assist with scheduling appointment for pre-employment medical check-up and submission of medical report to MOM
  • Collaborate with relevant stakeholders to complete all onboarding tasks and support new hire to complete the onboarding process 
  • Participate in process improvement project to streamline the onboarding process and administrative workflow

Job Requirements

  • Diploma Holder, preferably in human resource or with background in healthcare industry  
  • At least 1-2 years of shared service experience
  • Meticulous, excellent attention to detail and accuracy
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Good communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Knowledge of local employment laws and regulation including work pass application
  • Proficient in Microsoft Office Suite including Word, Excel and PowerPoint
  • Familiar with SAP SuccessFactors is an added advantage
  • Experience with high transactional volume work is a plus
