As an Executive in the Patient Experience Office (Volunteer Services), you play a pivotal role in shaping and sustaining the Woodlands Health experience for our patients, families, caregivers, and staff. Your role ensures that volunteer programmes are thoughtfully designed, well-managed, and aligned with organisational priorities to enhance patient engagement, improve care experiences, and strengthen community partnership. By building internal capability and fostering a vibrant volunteer community, you enable patients and caregivers to partner with us towards better health.
You will work closely with multidisciplinary stakeholders across Nursing, Allied Health, Operations, and community partners to co-create meaningful volunteer initiatives that support service delivery, augment manpower, and uplift the overall hospital experience. This position places you at the heart of advancing person-centred care beyond clinical delivery — strengthening engagement, empowerment, and service excellence across the organisation. Key Responsibilities
- Volunteer Programme Management & Operations
- Oversee the day-to-day management of volunteer programmes to ensure smooth operations and adequate volunteer deployment across care settings
- Coordinate with internal stakeholders to align volunteer support with organisational and operational needs
- Manage the Volunteer Hub to ensure a welcoming, organised, and supportive environment for volunteers
- Provide on-site guidance, briefing, and real-time support to volunteers during their shifts, including wellbeing check-ins
- Ensure effective communication through appropriate platforms (e.g. WhatsApp groups, briefings, updates)
- Programme Development & Implementation
- Develop and implement recruitment strategies to build and sustain a diverse and vibrant volunteer pool
- Design, evaluate, and enhance volunteer programmes to meet evolving patient, caregiver, and organisational needs
- Collaborate with Nursing, Allied Health, and Operations teams to anticipate future volunteer requirements and co-design new initiatives
- Establish and operationalise new programmes such as the Patient Advocate Programme, including recruitment, training, support, and evaluation
- Support the development and implementation of the Volunteer Learning & Development roadmap
- Volunteer Engagement & Capability Building
- Conduct volunteer orientations and relevant workshops (including weekday and weekend sessions)
- Foster volunteer engagement through ongoing communication, feedback collection, and recognition efforts
- Promote a culture of service excellence, empathy, and professionalism among volunteers
- Lead volunteer programme communications, including social media and outreach efforts
- Experience & Continuous Improvement
- Contribute to the 3E Patient Experience Strategy by strengthening volunteer contributions to engagement and empowerment
- Support patient experience improvement initiatives across the organisation
- Participate in the design and redesign of volunteer-related processes, services, and infrastructure
- Prepare reports, presentations, and performance updates for Volunteer Services initiatives
- Contribute to annual strategic planning and monitoring efforts
What You Bring to the Organisation
- Strong programme coordination and stakeholder management capabilities, enabling effective collaboration across multidisciplinary teams
- Experience in volunteer management, community engagement, or service-oriented programme development
- Ability to manage competing priorities in a fast-paced healthcare environment while maintaining service quality
- Excellent communication and interpersonal skills to engage volunteers, patients, caregivers, and internal partners
- A proactive and resourceful mindset with strong problem-solving abilities
- Commitment to confidentiality, professionalism, and service excellence
- Proficiency in Microsoft Office Suite, particularly Excel, for reporting and administrative functions
Mandatory Requirements
- Degree qualification
- 2–3 years of relevant experience in volunteer management, programme coordination, or community engagement (healthcare setting preferred)
- Willingness to support occasional weekend activities and volunteer programmes based on operational needs
