Senior Executive / Assistant Manager, Inpatient Operations
1. JOB PURPOSE
a. Senior Executive/ Assistant Manager for Inpatient Operations primary responsibility is to maintain Wards’ Operations to achieve operational efficiency, service excellence and to optimise capacity and resources. These covers (not limited to) facilities, in-patient satisfaction and inflight workstreams.
b. He/she will also manage a team of Inpatient PSAs (based on Tower A, B, C, D or E coverages) for the daily Wards’ operations.
c. Additionally, he/she will also work with clinicians, nursing and all support services stakeholders to drive infrastructural related projects to improve/transform the delivery of care within Wards setting.
d. He/she will consolidate, provide updates and maintenance of Key Indicators and Trackers for Inpatient Operations which includes Bed Occupancy Rate (BOR), Length of Stay (LOS) and Discharge referrals for recommendation to improve Wards’ bed utilisation.
e. He/she will also harness technology/IT to drive transformation to achieve better, faster, safer and cheaper outcomes for Inpatient Operations.
2. MAJOR DUTIES & RESPONSIBILITIES
Specific
a. Facility Management and Maintenance of Wards (apportioned by Tower A, B, C, D or E)
- In-flight Workstreams
- Review and maintain relevancy of routine inpatient ward processes, including touchpoints from the time of patient admission into the Ward to patient discharge to Home/ Other Facilities such as:

- Inpatient Transfer to TCF Workflow
- Direct Admission Workflow
- In-flight VIP Management Workflow
- Cost Sharing Workflow
- Support in-flight patient workstreams including review of current non-clinical processes for improvement (e.g., consumables top- workflow, cleaning regime, porter activation etc.)
- Wards’ Operations Readiness
- Oversee daily operations and case investigations for continuous improvement, including Inpatient PSAs management, Equipment requisitions and replacements etc.
- Review and act on procurement requests for the wards’ maintenance, replacement and enhancements
- Troubleshoot of Inpatient interface systems and process issues e.g. Ward Dashboard for Ward Census, Patient Bedside Terminal, Patient Information Board, Real-Time Location System (RTLS) etc.
- Liaise with supporting departments on daily Wards’ requirements and successful implementation of new & improved initiatives
- Analyse the customers’ feedback; investigate staff/patient feedback and complaints and implement corrective actions and preventive measures
- Tracking and monitoring of Wards’ key performance indicators (KPIs)
- Secretariat Support to Inpatient-led Platforms/Projects
- Secretariat to the Inpatient Operations in the engagements with I-ACE Enterprise, respective WH departments, Ministry of Health Departments, Cluster (GIC, Aged Care etc) and/or Institutions (NUHS, RenCi etc)
- Support in the implementation of hospital’s quality, environmental, health and safety management processes such as surge activation, CE activation, Downtime and exercises etc.
- General
- Where directed by Reporting Officer, and/or Director, Medicine & Community /Inpatient Ops, to support in other WH-related projects and tasks.
Job requirement
- University Degree
- Some years of related experience in a similar capacity, preferably in an operations or service background
- Healthcare experience is a bonus
