Senior / Executive Assistant, Allied Health Office
Duties & Responsibilities
- Assist with the end-to-end process for procurement process which includes liaising with vendors on quotation, delivery schedules, stock/par levels (for consignment items if applicable), liaising with stakeholders (Finance, Materials Management Department and Biomedical Engineering), and assisting in stock/non-stock consumables purchases and other operating expenses
- Receive consumables and other items, and store them appropriately; maintain the store neat and tidy
- Prepare and match vendor’s invoices to purchases/services and arrange necessary documentations/signoffs for payment to vendors, as per procurement guidelines
- Requisite, control and maintain utilization of office supplies
- Assist on onboarding of new clinical staff such as ensuring timely application of system access, pin mailer, ePASS etc
- Maintain registration and practicing certificates for Allied Health Professionals only
- Maintain training records, registration and payment of courses for staff and coordinate with P&OD on full spectrum of staff training
- Assist in raising departmental requests such as e-pay and claim submission
- Assist in raising requests such as ePASS and IT matters, updating S3 information (eg location) and tracking of staff fund utilisation
- Assist in scheduling of meetings, and training programmes
- Maintain departmental hard-copy and electronic filing system in a systematic, neat, and presentable manner daily
- Maintain and perform data entry, and validation to ensure legibility, completeness, and consistency of data.
- Perform other administrative support tasks assigned as required
Requirements
- Diploma with at least 2 years of relevant experience (Entry level candidates may also apply).
- Experience in healthcare or related industry preferred.
- Proactive team player with good interpersonal/communication skills and a positive can-do attitude.
- Prepared to commit to events on weekends as applicable.
- Proficient in MS Office
