Senior Executive, Emergency Planning

The Senior Executive will be responsible for assisting the EP/BCM Head of Department in developing and maintaining emergency preparedness and business continuity plans. This role involves supporting risk assessments, organising training sessions, managing documentation, coordinating resources during incidents, and assisting with inventory control for emergency preparedness logistics.

MAJOR DUTIES AND RESPONSIBILITIES

 

  1. SPECIFIC

 

Emergency Planning and Business Continuity

  1. Assist in the development and maintenance of emergency preparedness and business continuity plans, ensuring alignment with regulatory requirements and healthcare standards.
  2. Support in conducting risk assessments and business impact analyses to identify vulnerabilities and develop mitigation strategies for critical hospital operations.
  3. Participate in designing and conducting regular training sessions and emergency exercises for staff across all levels and departments.
  4. Assist in coordinating emergency response activities and Hospital Command Centre operations during incidents.
  5. Assist in preparing and maintaining documentation, reports, and metrics related to emergency preparedness and business continuity.
  6. Support in inventory management of emergency preparedness logistics, including periodic stock-taking, restocking efforts, and maintenance of emergency supply readiness.
  7. Provide secretariat support to the Hospital Emergency Preparedness Steering Committee and associated workgroups and coordinate with external agencies and healthcare partners on emergency planning matters.

 

COO Office

  1. Communication, Change Management and Talent Development:
  • Support internal communications including leadership meetings, newsletters, and policy updates.
  • Assist in change management by coordinating communication plans and cross-departmental meetings to ensure effective information flow.
  • Manage talent development processes including training programmes.
  • Support performance management processes and manage awards nominations for operations staff.
  1. Risk, Compliance and Financial Support: Maintain compliance monitoring and risk management activities. Assist with budget preparation, financial sustainability, and manpower planning to support operational decision-making.
  2. Operational Support and Project Management: Lead special projects and coordinate cross-functional teams to support COO Office initiatives.

 

(B) GENERAL

  1. Embrace and adapt to changes in protocols and plans, fostering a proactive approach to evolving circumstances and emerging threats.
  2. Provide support for hospital operational functions, which may include audits, emergency response, events coordination and department initiatives.
  3. Foster continuous improvement as our way of life by encouraging staff efforts at improving processes to achieve operational excellence.

 

JOB REQUIREMENTS

 

(A)      EDUCATION, TRAINING AND EXPERIENCE

  • Degree, or equivalent, in any discipline.
  • 1-3 years of experience in Emergency Planning or related work. Fresh graduates or candidates with less experience may be considered for the position of Executive.
  • Prior experience in a healthcare institution or uniformed services will be advantageous.
  • Possess leadership qualities, sound judgment, decision-making and problem-solving skills.
  • Good written, presentation, communication, and interpersonal skills.
  • Proficient in IT applications/ systems
