As Manager, Registry of the Communicable Diseases Agency Planning Office (CDA PO) set up by the Ministry of Health (MOH), you will support Deputy Head/Corporate Services in the setting up and management of the registry and mailroom management functions of the Communicable Diseases Agency (CDA).


The CDA is a new government agency that is being established by the Ministry of Health (MOH) to oversee Singapore’s communicable disease preparedness, prevention and control, surveillance, risk assessment and outbreak response. The CDA PO’s role is to plan and execute the setup of the CDA, which will consolidate and build on the public health functions under MOH, the National Centre for Infectious Diseases, and the Health Promotion Board.


You will be working in a fast-paced and highly volatile environment that will require you to manage multiple stakeholders and priorities concurrently for a smooth transition to the CDA.


You will play a key role in the Registry team of the CDA PO. Your key responsibilities include the following:


• Set up the Registry and mailroom functions of the CDA, including the relevant digital solutions to automate Registry and mailroom processes where possible
• Run CDA’s Registry and mailroom operations after the CDA is formed
• Set up the policies governing the transfer of records from the functions that will move to CDA and ensure the proper transfer of records to CDA
• Set up and implement the framework and processes for the retention, preservation and declassification of CDA records, including working closely with National Archives of Singapore (NAS) on the record management requirements for retention, preservation and declassification of CDA records
• Perform stocktake of physical records, whenever required, and ensure accountability of CDA’s records inventory
• Any other records management and mailroom functions to support CDA’s information needs

 

JOB REQUIREMENTS


• At least three years of work experience in similar scope
• Familiar with Government Instruction Manual on Management of Public Records and/or possess document management knowledge
• Meticulous with good organisational and communication skills
• Independent and self-driven with the ability to multi-task in a fast-paced environment and perform under pressure and tight timelines
• Effective stakeholder management, communication and interpersonal skills to co-create solutions
• Has a growth mindset in seeking continual improvements and keeping up with transformation that leads to significantly better and cost-effective outcomes
