Manager, Ops (Allied Health)
JOB SUMMARY
The Operations Manager supports the Deputy Director, Operations (Allied Health), and Chairperson, Allied Health Services & Pharmacy, in servicing the Departments under Allied Health Services & Pharmacy. He/ she is the Operations interface across all hospital services and functional units for the Department(s).
Working closely with the Deputy Director, Operations; Chairperson (AH), HOD(s)/ Deputy HOD(s), and supported by operations executives, the Operations Manager is responsible to plan, develop and manage resources within the Department(s) to meet the department/hospital’s objectives in the delivery of patient care. The Operations Manager plays a proactive role in supporting the Department(s) by providing timely departmental performance reporting and actively planning, implementing and managing initiatives and solutions towards determined objectives.
Patient Care Coordination
- Coordinate patient management across TTSH service settings (outpatient, inpatient, clinical services)
- Serve as primary interface between departments and other disciplines to improve care coordination
- Analyse and recommend solutions to minimise operational bottlenecks in patient journey flow
Quality Management
- Support development and implementation of clinical protocols and quality improvement projects
- Monitor clinical issues and assist with quality audits across all service settings
- Maintain department quality systems (ISO, IQEHS, PDS) and ensure JCI standards compliance
Operations & Process Management
- Monitor Key Performance Indicators and implement operational procedures for optimal efficiency
- Manage service quality by establishing standards and improving workflows
- Lead process reviews and contribute to divisional clinic management committees
Financial & Resource Management
- Prepare and manage operating and capital budgets with variance analysis
- Actively manage department P&L performance through strategic initiatives
- Plan facility upgrades, equipment maintenance, and resource utilisation improvements
Staff & Manpower Management
- Manage patient service associates and provide oversight for staff development
- Support recruitment, retention, and strategic HR programme implementation
- Assist with clinical and support staff rostering and training logistics
GENERAL
1. Support departmental/ divisional/ hospital specific audits.
2. Update reports on performance, finances, workload data across service settings for HODs
information.
3. Assist HOD(s) annually in department annual reports and work plan.
4. Participate in hospital initiatives if required.
5. Plan, drive and manage quality improvement initiatives at hospital/ department level (e.g. MyCare initiatives).
6. Participate in hospital’s committees if required (e.g. Patient Satisfaction, Mass casualty, HITs etc).
7. Any other duties assigned by HOD/ Asst Director, Operations Allied Health
JOB REQUIREMENTS
(A) EDUCATION, TRAINING AND EXPERIENCE
- Degree holder with at least 3 years of supervisory experience, preferably in a healthcare environment.
- Proficiency in word processing, data management (e.g. Excel) and presentation (e.g. Powerpoint) systems is preferred
- Relevant work experience in customer service, project management or operations would be preferred.
