As an Executive/Senior Executive Assistant, Corporate Services (6 months contract) of the Communicable Diseases Agency Planning Office (CDA PO) set up by the Ministry of Health (MOH), you will support the Lead, Corporate Services in the establishment of the Communicable Diseases Agency’s (CDA) corporate services functions.

 

The CDA is a new government agency that is being established by the Ministry of Health (MOH) to oversee Singapore’s communicable disease preparedness, prevention and control, surveillance, risk assessment and outbreak response. The CDA PO’s role is to plan and execute the setup of the CDA, which will consolidate and build on the public health functions under MOH, the National Centre for Infectious Diseases, and the Health Promotion Board.

 

You will be working in a fast-paced and highly volatile environment that will require you to manage multiple stakeholders and priorities concurrently for a smooth transition to the CDA.

 

Responsibilities

You will be supporting the Corporate Services team in the CDA PO. Your key responsibilities include the following:

 

Office Management

  • Handle stationary requests and maintain adequate supplies
  • Oversee mail and courier services
  • Track and manage assets, pantry, and sundries supplies
  • Upkeep keys and office inventory, and ensure timely updating of records

 

Facilities Management

  • Preparation of fire warden packages

Administrative Matters

  • Tracking and filing of Purchase Orders, invoices, leasing documents, and licensing matters
  • Any other duties as may be assigned by Reporting Officer

 

Qualifications

  • Tertiary qualification in any engineering or Estate and facilities management-related discipline
  • Experience in estate and facilities management of commercial or government buildings, space planning and/or managing renovation projects would be an advantage
  • Experience in government procurement and contract management would be an advantage
  • Strong analytical, critical thinking and problem solving skills
  • Prepared to be activated for urgent works after working hours or during weekends, when required
  • Possesses the drive and curiosity to learn and apply new skills, knowledge and new ways of working
  • Committed with good working attitude and resilience to produce the desired results
  • Effective stakeholder management, communication and interpersonal skills to co-create solutions
