The Executive will be a key member of the Resident Management Team (RMT), responsible for providing administrative support for the training and management of medical residents (junior doctors training to become specialists). This role involves managing day-to-day processes such as onboarding, rotations, record-keeping, and offboarding for residents. As the primary contact for all resident rotation matters in NHG, the Executive will work closely with both internal and external stakeholders to ensure smooth coordination of these processes and compliance with relevant policies

 

 Key Responsibilities

  • Resident Onboarding and Deployment:
    • Plan and execute onboarding for residents, including administration of training agreements, setting up IT and clinical access, and preparing essential items like staff IDs and name tags.
    • Coordinate and communicate resident deployment and manpower needs with key stakeholders to ensure optimal distribution.
  • Data Management & Reporting:
    • Maintain accurate and up-to-date resident records, including rotation schedules, leave of absence applications, and resident movements.
    • Provide timely and precise resident data to stakeholders, ensuring data accuracy and consistency.
  • Offboarding Management:
    • Coordinate offboarding processes, including exit interviews, IT deactivation, return of NHG properties, and reporting to relevant stakeholders.
  • Policy Compliance & Collaboration:
    • Ensure that Ministry of Health (MOH), MOHH, and NHG policies are effectively implemented and followed.
    • Work closely with training partners and departments to align operations and meet institutional goals.

 

The Executive is also expected to assist and support initiatives and projects as assigned, to achieve the institution's vision, mission, and strategic objectives.

 

Job Requirements

  • Education & Experience:
    • Degree in a relevant field, with at least 2 years of experience in an administrative role.
    • Experience in healthcare or educational institutions will be an advantage.
    • Proficient in Microsoft Office, particularly Excel (Intermediate level or above; skills assessment will be part of the selection process).

    • Excellent interpersonal and communication abilities, both verbal and written.
    • Attention to detail and ability to handle large volumes of data accurately.
    • Ability to work independently while also being a proactive team player.
    • Comfortable in a fast-paced, dynamic environment with multiple priorities.
