Executive Asst
1. Job Purpose
As a valued member of our expanding Group HR Shared Services (HRSS) team, you will contribute to delivering exceptional employee-centric experiences across the National Healthcare Group ecosystem. In this strategic role, you will provide comprehensive first-tier operational support within the HRSS framework, focusing primarily on pre and on-boarding functions.
The position offers extensive collaboration opportunities with HR partners across NHG institutions and key external stakeholders, including regulatory bodies such as the Singapore Nursing Board and Singapore Medical Council, and the Ministry of Manpower. While the core responsibilities centre on pre and on-boarding operations, this dynamic role presents opportunities for professional growth and exposure to diverse functions within our integrated shared services environment.
In line with organisational needs and individual growth potential, the role scope may evolve to encompass different portfolios within HR Group Shared Services. Such changes may arise from organisational restructuring, strategic resource reallocation, and recognition of demonstrated capabilities and development potential.
2. Area of Responsibility
- Act as the first point of contact for internal and external inquiries directed to the HR shared services team.
- Manage the pre-employment process including preparation of contracts , and coordination of pre-employment health screenings. Ensure all pre-employment is complete and compliant with organizational policies and local regulations.
- Coordinate and execute the on-boarding process for new hires including preparing welcome kits, scheduling orientation sessions, and ensuring all necessary access rights and equipment are arranged before employee’s first day.
- Maintain and update HR databases with new hire information, ensuring accuracy and completeness of employee records.
- Liaising with Statutory agency / governing body on the application, renewal, and cancellation of all work passes.
- Assist in special HR projects and initiatives as assigned
3. JOB REQUIREMENTS
(a) Education/Training/Experience
- Diploma in Human Resource or Business-related discipline.
- Proven experience as an administrative assistant or executive assistant, preferably in a HR or shared services environment will be an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SuccessFactor.
