Executive Assistant (Temp)
Key Responsibilities
Office Administration & Support
- Assist with general office management tasks to ensure smooth daily operations
- Handle asset management matters
- Submission and coordination with ITD on laptop assignments to new hires and replacement of old laptops
- Disposal of old laptops
- Partner with Finance on assets tagging
- Create/enhance/update assets tracking sheet
- Provide logistical and administrative support for meeting setups (e.g. room bookings, equipment setup, tea breaks)
- Be the key administrative point of contact for the upcoming office move in August 2025 – liaising with internal stakeholders and managing the move logistics
- Submit requests to ITD for new hires VPN access.
Procurement & Finance Support
- Process purchase orders (PO) and coordinate invoice tracking and submission
- Provide administrative assistance for incidental expenditure tracking for the office
Project Support and Coordination
- Support the roll-out of wellbeing initiatives and management of EDM on viva engage
- Track and support project timelines, follow up on outstanding actions, and help consolidate updates for reporting (e.g. onboarding project in collaboration with ITD and department admins).
Records Management and Ad Hoc Support
- Support in department activities or initiatives, including townhalls, well-being events, etc.
Ad-hoc HR Ops Support
- Any other ad-hoc HR Ops support from time-to-time.
