Executive Assistant, Allied Health Office

Duties & Responsibilities

  • Provide administrative support to the following departments: Laboratory, Optometry and Audiology.
  • Liaise with the despatch team to ensure the smooth collection / delivery of specimens and documents from destination to destination, ensuring laboratory safety practice
  • Perform billing functions e.g., checking audit reports, issue credit notes, checking that charges to clients are correct.
  • Assist in bill amendment requests and other matters related to National Billing System (NBS).
  • Assist in medical report routing and generating department reports.
  • Receive deliveries/track hearing device and accessories orders, and manage collection of hearing device packages from vendors
  • Manage delivery orders, invoices and claim documents, and submit them to Materials Management Department (MMD) and Finance on a regular basis
  • Manage onboarding of new clinical staff
  • Handle training management such as maintenance of training records, registration, and payment of courses to respective parties.
  • Manage claims management such as assisting in raising requests such as e-pay and claim submission (e.g.: Senior Mobility Fund (SMF), Assistive Technology Fund (ATF)
  • Taking care of Accounts management not limiting to assist in raising requests such as ePAS and IT matters, updating S3 information.
  • Assist in stock/non-stock consumables purchases and other operating expenses
  • Assist in maintenance of registration and practicing certificates for Allied Health Professionals.
  • Schedule meetings, training programmes and tracking of staff fund utilisation
  • Maintain departmental hard-copy and electronic filing system in a systematic, neat, and presentable manner daily.
  • Receive consumables and other items and store them appropriately; maintain the store neat and tidy.
  • Assist in organising departmental functions.
  • Assist in administrative duties such as print, collate, or generate administrative reports.
  • Perform other administrative support tasks assigned as required

Requirements

  • Minimum Diploma OR GCE 'N/O/A/NITEC/ITE' Levels with at least 2 years of working experience
  • Good communication and interpersonal skills
  • Experience in healthcare settings will be advantage
