Execuitve Assistant - 4-month Temp
We are seeking a temporary Executive Assistant to provide coverage for our permanent staff member who will be on maternity leave. As part of the Resident Management Team (RMT), you will play a crucial role in supporting our medical Residents and Senior Residents in their training journey.
Duration
- 4-month temporary assignment
Key Responsibilities
- Support the Senior Executive in:
- Processing onboarding/offboarding documentation for Residents and Senior Residents (training agreements, COI declarations, staff passes, access cards, name tags, parking and IT access)
- Preparing and submitting reports on Residents' postings and training status to MOHH and training institutions
- Processing billing reports for Residents and Senior Residents
- Process and coordinate overseas conference sponsorship applications from Residents
- Maintain comprehensive resident records with high attention to data accuracy and confidentiality
- Provide administrative support for traineeship certifications, childcare service applications, and conference registrations
- Support other institutional initiatives and projects as assigned
Requirements
- Education & Experience:
- Diploma or equivalent qualification
- Minimum 2 years of administrative experience
- Experience in healthcare or educational institutions will be an advantage
- Skills & Competencies:
- Proficient in Microsoft Office applications:
- Excel: Competent in data entry, basic formulas, sorting and filtering data
- Word: Able to format documents, create tables, and use templates
- Excellent interpersonal and communication skills
- Strong attention to detail and organisational abilities
- Ability to work independently and handle multiple tasks in a fast-paced environment
