Broad Function

To provide administrative, logistics and office support for Department of Surgery.

 

Key Roles & Responsibiities

 

Specific

  1. Overall division admin support, including scheduling of meetings, meeting logistics, secretariat support, and collation of information.
  2. Provide Stationery and office admin support including for IT and facility maintenance issues
  3. Provide secretariat and logistical support to department meetings and events for internal and external stakeholders.  Duties may include scheduling, minute taking, and preparing simple presentations and reports.
  4. Provide support to Heads of Department (HOD) including calendar management, claims, and overseas travel arrangement.
  5. Provide administrative support for Department Doctors including onboarding and off boarding activities, oversight of relevant certifications, leave projections, roster dissemination, and claims submission.
  6. Arrangement of staff educational and cohesion activities.
  7. Provide administrative support for procurement of items for clinical services, when required.

 

General

  1. Any other duties as assigned by the Reporting Officer.

 

JOB REQUIREMENTS

Education / Training / Experience

  1. Diploma or GCE ‘A’ Levels preferred
  2. At least 3-5 years of related experience in a similar capacity, secretarial experience is preferred.

  1. Able to multi-task and manage projects.
  2. Able to communicate effectively at all levels with good interpersonal skills.
  3. Possess a good command of the English language, both written and spoken.
  4. Healthcare experience is preferred
  5. Proficiency in Microsoft Office essential
  6. Team-player
